Digital Documentation

Create and manage documents with a word processor, including editing, formatting, tables, page layout, printing and mail merge.

Core ideas

1. Understand the idea

Create, open, save and close a document; use an appropriate filename and file location.

2. Key knowledge

Format text and paragraphs consistently. Use headings, alignment, spacing, bullets and numbering to help the reader.

3. Apply it

Insert and edit tables; add or remove rows and columns; copy or move content; use print preview and select print options.

4. Remember the process

Mail merge combines a main document with a data source to create personalised copies. Review the data source and merged output before printing.

Worked scenario

For a school invitation, create a main letter with a greeting field and connect a small table containing names and addresses. Preview each merged copy to check that names fit and fields are placed correctly.

Practice questions with answers

1. What are the two main parts of mail merge?
A main document with common text and a data source containing the changing fields, such as names or addresses.
2. Why use print preview?
It reveals page breaks, margins and layout problems before paper is used.

Practical evidence

Keep a small practical record: task, tool, steps, result and one learning. For technical units, repeat the operation with a new file or data set so you can explain what changes and what stays the same.
