Office Tools

Practise word processing, spreadsheets and presentations, including accurate formatting, basic formulas, charts, slide design and review tools.

Syllabus concepts

Word processing

Create and save a document; use headings, readable fonts, paragraph spacing, page settings, headers/footers, page numbers, tables, images, bullets, spelling tools, print preview, comments and track changes.

Spreadsheets

A workbook contains worksheets; a cell is identified by column and row, such as B4. Formulas begin with = and can use cell references and +, −, ×, ÷. Basic functions include SUM, AVERAGE, MAX, MIN and simple IF.

Charts

Choose a chart that matches the data: bars compare categories, lines show change across ordered intervals, pie charts show parts of a whole when categories total 100%, scatter plots show association between two numeric variables, and area charts emphasise cumulative patterns.

Presentations

Use clear slide layouts, titles and concise content. Normal and slide sorter views serve different purposes. Add pictures, page/slide numbers, animations, sound or timings only when they support the message.

Review and print

Use comments and track changes to review work. Check spelling, page settings and print preview before printing or exporting.

Worked example

A worksheet stores scores in B2:B6. In B7 enter =AVERAGE(B2:B6). The formula uses a range; if one score changes, the calculated average updates. A bar chart can then compare the scores by student.

Practice questions with answers

1. What is the address of the cell in column C and row 5?
C5.
2. Which formula totals values from C2 through C8?
=SUM(C2:C8).
3. Which chart is usually suitable for showing monthly change over a year?
A line chart, because the months are ordered in time.

Practical task and self-check

Create a small sample task using this unit’s tools. Save it, reopen it, inspect the result and explain one choice you made.
